Privacy Policy

This policy covers My 1st Coach Teams — the website at teams.my1stcoach.org and the iPhone and Android apps — a roster, scheduling and communication tool for youth sports teams. It's meant for adults (coaches, managers, league administrators, parents and guardians) acting for themselves and the players they manage. Player information is entered by a parent, guardian or coach, not collected directly from a child. See also our Terms of Service.

Information we collect

When you create an account or use the service, we collect:

• Account info: your email address, your name, and optionally a phone number.
• Team & roster info: team names, logos and seasons; roster entries (a player's name on the team, jersey number, position, role); and invite codes.
• Schedule & communication content: events (practices, games), RSVPs, team announcements, and messages you send us through the support page.
• Notification settings: if you allow notifications, a device token used to deliver them, your device's time zone (so reminders arrive at the right local time), and your notification preferences.
• Sign-in history: when you sign in or open the app, we record the time, platform (iPhone, Android or web), app version and browser or device type. This helps us support you and keep accounts secure.
• Team change history: a record of changes to a team's details, roster and schedule and who made them, so coaches and administrators can see what changed.
• Crash reports: if the mobile app crashes, a technical report (the error, app version and device model) is sent so we can fix it. These reports are set up not to include your name or email.
• Payments (when your team collects fees): the fees assigned to you and their payment status. Card and bank details are entered on Stripe's secure pages and go to Stripe; we never see or store full card numbers.

We don't use advertising or analytics trackers — nothing in the service profiles you or serves ads.

How we use it

Your information is used only to run the service: managing team rosters, scheduling events, sending RSVP reminders, announcements and other notifications, answering support requests, fixing problems, keeping accounts secure, processing team fees when a team uses payments, and — if a coach turns it on — syncing a team's schedule to a Google Calendar. We don't sell your information or share it for advertising.

Who can see it

The people on your team see the team's roster, schedule, RSVPs and announcements. Coaches and team administrators can see their own team's members and payment status. Our platform administrators can see account details and sign-in history to run and support the service. Your data isn't public.

Third-party services

We rely on a small number of service providers, each processing data only as needed to provide their service to us:

• Supabase — hosts our database, authentication and file storage.
• Google Cloud — hosts the website.
• Expo — delivers push notifications and app updates to the mobile app.
• Sentry — receives crash reports from the mobile app.
• Resend — delivers email (invitations, password resets, support messages).
• Stripe — processes team fee payments, only when your team collects fees. Stripe also verifies the identity and bank details of teams that receive payments.
• Google Calendar — only if a coach turns on calendar sync for a team; event details are written to a Google-hosted calendar.

Data retention & deletion

Your information is kept for as long as your account or team is active. You can permanently delete your account at any time from the Profile page in the app or at teams.my1stcoach.org/profile — this removes your account, your roster information, your RSVP history and your sign-in history. If you'd rather we handle it for you, contact us using the email below. Content you contributed to a shared team, such as events or announcements you created, may remain for that team's continued use, with your personal attribution removed. Payment records may be kept as required for tax and accounting, and Stripe keeps its own records under its privacy policy. We may retain limited records where required for legal or security reasons.

Security

Data is protected with per-user access controls at the database level (row-level security) and encrypted in transit. Only the people on a team, and its coaches and administrators, can access that team's roster and schedule; we don't expose it publicly.

Your choices

You can view and edit your profile at any time, turn notifications off in the app or your phone's settings, and delete your account. California residents and others with privacy rights under their local law can ask us what information we hold about them, or ask us to correct or delete it, by emailing us.

Changes to this policy

If this policy changes, we'll update the date at the top of this page, and for significant changes we'll let you know in the service.
